Our Process

1. Initial Chat

 

We’ll start with a quick conversation to learn the basics of your event, answer initial questions, and determine the next best step. After this chat, we’ll send a follow-up email, helpful FAQ resources, and schedule a discovery call or site visit if needed.

2. Discovery Call or Site Visit

 

During this step, we’ll dive deeper into your event goals, venue details, timeline, audience, and AV needs. This may happen over a call, video meeting, or on site depending on the event.

3. Quote Review

Once we understand the scope, we'll prepare a customized quote and walk through it with you, typically during a video call. This gives you an opportunity to ask questions, review options, and ensure everything aligns with your event goals. After the review, you'll receive the quote, an acceptance link, and information about the next steps, including invoicing and project kickoff.

4. Signature & Confirmation

 

To officially secure your event date and move forward, we'll need a signed agreement and the agreed-upon deposit. Once both are received, your event is booked on our production calendar and we can begin the planning process.

We'll then send a confirmation email outlining next steps, key milestones, and what we'll be working through together during the production planning phase.

5. Production Planning Phase

This is where the details come together. We’ll work back and forth with you to confirm:

  • Agenda and run of show

  • Floorplans and room layout

  • Content and presentation flow

  • Transitions and technical requirements

  • Event-day expectations and logistics

Our goal is to ensure everyone is aligned and prepared well before event day.

6. Event Execution

Our team will handle setup, event support, and strike based on the needs of your event. We’ll be on site to manage the technical production and help ensure everything runs smoothly from load-in to load-out.

7. Debrief & Feedback

After the event, we may follow up by email, phone, video call, or an in-person meeting depending on the event. We’ll review what went well, gather feedback, and discuss any opportunities for future events. We’ll also send a debrief form and would greatly appreciate a Google review to help us continue improving.
